How to invoice a brand for UGC work

Plenty of brands hiring their first creator have no idea what to do with you. You are not on a vendor list, nobody has raised a PO, and the person who briefed you cannot pay you. A good invoice fixes all three quietly.

The deposit is the whole game. 50% on booking, 50% on delivery. A brand that has paid half has a reason to close the file. A brand that will not pay a deposit has told you something important before you spend a day filming.

What goes on it

An invoice gets paid when it can be processed without anyone asking a question. Every missing field is a week.

  • Your legal name or business name, and address. Whatever matches your tax paperwork, not your handle.
  • Invoice number and date. Sequential. It matters more than it should, because AP systems key on it.
  • Their legal entity name. Not the brand name. The company that pays bills is often called something else entirely, and it will be on the contract.
  • PO number, if they gave you one. If they use POs and it is missing, the invoice will bounce automatically. Ask before invoicing.
  • Line items, separated. Content fee on one line, usage rights on another, add-ons on their own. Never one lump sum.
  • Payment terms, stated. "Net 14 from receipt" or similar. If you do not state terms, you have implicitly accepted theirs, which may be net 60.
  • Late fee language. "1.5% per month on overdue balances."
  • How to actually pay you. Bank details, or the payment link.

Why the line items matter more than the total

Separating content from usage rights is not bookkeeping neatness. It is what makes the renewal possible.

If your invoice says "UGC package, $700", then in six months when they want to keep running the ads, there is nothing to renew. If it says "Content fee $425" and "Paid usage, Meta and TikTok, 30 days from 1 Oct, $170", then the expiry is documented, the rate is established, and the follow-up writes itself.

Adapt this

Invoice #0014
Date: 7 September 2026
Bill to: Northlane Coffee Co. (legal entity as per agreement)
PO: [number, if applicable]

1. Content fee, 2x 30-second videos, per agreement dated 1 Sept ..... $850
2. Paid usage rights, Meta and TikTok, 30 days from delivery ..... $340
3. Whitelisting, 30 days, from creator handle ..... $213

Subtotal $1,403
Deposit received 1 Sept ..... ($702)
Balance due $701

Terms: net 14 from receipt. Overdue balances accrue 1.5% per month. Usage rights are granted on payment in full.

UGC Backend's Balance Invoicing add-on sends the final invoice for you when a deal is marked complete.

The sentence that does the most work

"Usage rights are granted on payment in full."

On the invoice, in the contract, in the delivery email. It converts a late payment from your problem into theirs, because a brand running paid ads on content it has not paid for is exposed in a way it will not want explained to its own legal team. You will almost never need to say it twice.

Practical things that speed it up

  • Ask who handles AP before you invoice. One line in the delivery email. Sending straight to your creative contact means it sits in a personal inbox.
  • Send it as a PDF. Not a Google Doc link, not in the email body. AP departments file attachments.
  • Invoice the day you deliver. Terms start from receipt, so a week of delay is a week added to the end.
  • Expect a vendor form. Larger brands will send a setup pack and a W-9. Fill it in the same day; the invoice cannot enter their system until you exist as a vendor.
  • Non-US creators: a W-8BEN filled in before anyone asks removes the most common reason a US brand stalls on paying overseas.

If they ask you to invoice after the campaign runs

Decline politely. Payment on results turns a fee into a gamble on their media buying, their landing page and their targeting, none of which you control. The content fee is for making the content, and it is earned on delivery.

Performance bonuses on top of a real fee are fine and can be good. Performance instead of a fee is unpaid work with a lottery ticket attached, not a deal.

If you change one thing: take a 50% deposit before you shoot. It removes most late payments, most ghosting and most of the anxiety, and the brands that refuse it are the exact ones you did not want to work with.

Price it before you reply

The free rate calculator prices the deliverable and the usage rights separately, then splits the 50% deposit and the balance. Nothing you enter is sent anywhere or stored. No sign-up and no email.
